An opening order, followed the whole way

Walkthrough

The shape of an order before you start

An order through an agent has two halves and a hold in the middle. In the first half you pay for goods and for the courier leg inside China. In the hold, the seller posts the goods, the warehouse books them in, photographs land on your order line and nothing at all is owed. In the second half you choose which stored items go in a box, pick a route, fill in a customs line and pay freight.

Whalebuy draws the same thing as four steps on its homepage. The strip is worth a look because it also carries a feature promise that has not visibly landed yet.

Whalebuy's own four-step strip, captured 21 October 2026. The second step still advertises a video inspection feature as launching mid-year.

Why can nobody tell me the shipping cost when I place the order?

Posted rule

Whalebuy's explainer on split payment says the international parcel does not exist at the moment you buy: the warehouse has to receive the goods and confirm weight, dimensions, product type and which routes are open before a freight figure can be produced.

Read on Whalebuy's Why Product Payment and Shipping Are Paid Separately page, 21 and 22 October 2026.

In practice

Budget in two lumps. The first is the seller's price plus domestic delivery. The second is whatever the box turns out to weigh and measure, on whichever route you pick, minus any voucher that fits.

Misread as

An estimator result gets read as a quotation. It is a sounding, taken before the box exists, with a weight you guessed.

Walkthrough

Step two: the first bill

Submitting the order opens a checkout with a countdown on it. You pick the currency, then the money source: a balance you topped up earlier, a card, or one of the wallet options. The posted window to finish paying is seventy-two hours, after which the order is cancelled rather than held.

I paid. Is it on its way to me now?

Posted rule

The confirmation screen says the opposite, in as many words: nothing is forwarded to you automatically, and once an item is shelved you have to pick it out of the warehouse view yourself, submit it for dispatch, and settle international freight at that moment.

Read on Whalebuy's Tutorial page, 21 and 22 October 2026.

In practice

Paying the first bill buys goods into a warehouse. Nothing leaves China until somebody on your account builds a parcel. Items can sit on the shelf for months while you wait for the rest of an order.

Misread as

First-time buyers watch tracking for a week after the first payment. There is no international tracking to watch yet, because there is no international parcel yet.

Official payment confirmation telling the buyer the goods will not be sent automatically and that a package must be submitted from the warehouse view
The note that catches most people, from Whalebuy's own tutorial, 30 July 2026. It also puts order processing at six working hours.

Walkthrough

Step three: the hold

Between the two bills there is a wait you cannot shorten. The company's posted figures: orders submitted during the buying desk's daytime hours are worked within six hours, and ones submitted overnight are picked up by early afternoon the next day. Marketplace sellers typically post within three to seven days. Domestic delivery into the warehouse runs one to two days from the nearest province and about a week from the far ones. Checking and booking in usually takes about a working day.

One of those figures has two versions: one page opens the buying desk at eight in the morning and another at nine. Nothing on the site explains the gap, which is worth knowing before you build a schedule on it. The domestic legs all end at the same place, the Whalebuy warehouse in Xiamen, Fujian.

What does the status word on my order actually mean?

Posted rule

Whalebuy publishes a full glossary of order states, from pending payment through to a purchase sitting on the shelf, and a second ladder of states for the parcel you build afterwards.

Read on Whalebuy's Description of various statuses of WHALEBUY purchasing orders page, 21 and 22 October 2026.

In practice

Two words matter more than the rest. Received means counted and weighed. Stored means on the shelf and selectable, and it is the word that starts both of your deadlines.

Misread as

Received gets read as finished. It is not: the goods are still being checked, and they will not appear in the warehouse view until the line changes again.

Walkthrough

Step four: build the parcel and pay freight

In the warehouse view you tick the stored items that are going in one box, confirm the address, choose a route, fill in the customs line, add any protective wrapping, and apply at most one shipping voucher. The figure you are shown at that point is built from the warehouse's own weighing and measuring, which is why it can differ from anything the estimator told you earlier.

I have several vouchers. Can I stack them on one box?

Posted rule

The voucher page is explicit that a single shipping voucher applies to a package, chosen on the submission screen next to the freight figure. A separate page adds that vouchers are tied to one account, cannot be given away or cashed out, and die on their expiry date.

Read on Whalebuy's How to use WHALEBUY shipping coupons? page, 21 and 22 October 2026.

In practice

Work out which voucher is worth most against the box you are actually sending, because the tiered ones have minimum spends. A voucher that needs a large freight total is worthless on a two-kilo box.

Misread as

People hold the biggest voucher for a future order and it expires. The minimum spend, not the headline figure, decides which one is the right one today.

Our illustration, not a real account screen. The routes, labels and fees are what Whalebuy's public estimator returned for 1 kg to the United Kingdom on 21 October 2026: USD 21.40 on the cheapest route, 7 to 14 working days, against USD 28.32 on a route marked Duties Payable by Recipient. The figure you pay is a prepayment; after the box is packed and weighed, an overpayment goes back to your balance and a shortfall is billed. Declare what you actually paid.

Walkthrough

Step five: the box at your door

The last two minutes of an order matter more than the previous six weeks. Whalebuy's receiving page asks you to check the outer box and the seal before you sign, to open it in front of the courier whether or not it looks damaged, to write a note on the delivery sheet, and to refuse the delivery outright if something is wrong. If you did not open it in front of the courier and something is broken or missing, keep the box and the tape, and get photographs and the invoice to support within two working days.

There is a second, shorter window on the same page family: feedback on a signed-for parcel is accepted for seventy-two hours. After that the posted position is that the transport is over and the company is not answerable for what happens next.
