Every charge that can land on an order

Goods, freight and a declaration charge make the core. Everything else is optional, conditional, or belongs to your own bank.

Paying

What a finished order is made of

Whalebuy's fees page writes the total as goods plus international freight plus a customs declaration charge, with the goods figure already carrying the courier leg from the seller to the warehouse. The declaration charge is put at eight yuan a parcel, varying with the route.

Around that core sit things that only appear if you ask for them or if your payment method charges for itself: protective wrapping, extra photographs, extra shelf months, a packing rehearsal, the processing cut on a card or wallet top-up, and whatever your own bank does to a cross-currency transaction. Duties and import taxes at your end are outside all of it.

The order was paid. Why is it asking for more money?

Posted rule

Whalebuy's page on outstanding balances says a shortfall is raised when the seller's price turns out to differ from the one you submitted, and that the gap is mostly domestic delivery. The service standards add that a buyer sets a top-up against the real value when processing the order.

Read on Whalebuy's Shopping Agent orders have been paid for, why do I have to pay for outstanding balance? page, 21 and 22 October 2026.

In practice

Keep a little balance in the account during the buying stage. A ten-yuan shortfall can hold an order for a day if nobody is watching the notifications.

Misread as

The request looks like a surcharge invented by the agent. It is normally the seller's domestic postage, which was unknown when you pressed pay.

Paying

Getting money in

The account runs on a balance. You can top it up through PayPal, which accepts four international card schemes and some national cards and converts everything to dollars whichever currency account you hold. There is an international card route, and there is a transfer service route that supports five currencies with different recipient details for each, so reading the right line before you send matters.

The displayed exchange rate is tied, in the company's own words, to whatever rate the Bank of China is publishing, and moved as that rate moves. Eighteen display currencies are available in the public interface.

What does topping up by PayPal cost?

Posted rule

Two live pages give two figures. The payment page and the top-up page both put the PayPal charge at four and a half per cent plus thirty cents. A question in the help centre, and a second one about timing, both put it at three point seven per cent plus thirty cents.

Read on Whalebuy's Paypal page, 21 and 22 October 2026.

In practice

Plan for roughly four per cent plus a fixed thirty cents, and read the number on the screen before you confirm the top-up. On a small first order this charge is a real part of the cost.

Misread as

Whichever page somebody read first gets quoted as the rate. Both are published, both were live on the same day, and the company has not reconciled them.

Paying

What you see before you confirm

The checkout screen carries a countdown, a currency selector, the balance you already hold, and the live payment channels. The posted window to finish paying a purchase order is seventy-two hours; for a parcel waiting on freight it is three days. Miss either and the order is dropped rather than parked.

I do not hold yuan. Does that matter?

Posted rule

Whalebuy's answer is short: a variety of payment methods are offered, and whatever currency you use, payment can be made directly by PayPal, card and other channels.

Read on Whalebuy's Can I pay without Chinese yuan? page, 21 and 22 October 2026.

In practice

You never handle yuan. You do pay for two conversions in most cases: the platform's own, and your bank's cross-border charge on the card or wallet transaction.

Misread as

The displayed dollar figure is read as the amount that will leave the account. The card statement usually lands a little higher, and the difference is your bank, not the agent.

Paying

Vouchers, levels and the money going back out

Twenty-two system vouchers were live in the public voucher list when it was read in October. They come in two shapes: percentage discounts on freight, and fixed amounts that need a minimum freight spend. The homepage advertises a large first-parcel freight discount for new registrations, and the first-order explainer mentions a bundle of vouchers handed to new accounts, with the discount described as up to a ceiling rather than as a flat rate.

Membership levels attach a freight discount to the account, applied automatically when a parcel is settled. The published benefits also include priority handling: inspection and booking-in inside twelve hours of signature, dispatch inside twenty-four hours of a parcel being submitted, and queue priority in live chat for the top two levels, on desktop only.

Can I pass a voucher to a friend or take it as cash?

Posted rule

No on both counts. The voucher rules say each one is bound to a single user for personal use, cannot be given away or withdrawn, and cannot be extended once expired.

Read on Whalebuy's Can WHALEBUY's shipping discount coupon be gifted or withdrawn? page, 21 and 22 October 2026.

In practice

Check expiry dates before you plan around a voucher, and apply the one that clears its minimum on the box you are sending today rather than the largest one in the list.

Misread as

The headline percentage is taken as the saving. On the tiered vouchers the minimum spend is the binding term, and on a small parcel the big ones simply will not apply.

How do I get an unspent balance back?

Posted rule

Through the user centre, under the balance view, as a withdrawal request. The posted handling time is two to three working days, the requested amount is frozen while it is processed, and the money returns by the channel it arrived on.

Read on Whalebuy's How to apply for withdrawal of WHALEBUY account balance? page, 21 and 22 October 2026.

In practice

Topping up more than an order needs is reversible but slow, and the return lands where it came from rather than where you would like it. A card refund is put at three to ten working days.

Misread as

People expect a transfer to a bank account of their choosing. The posted rule is original channel only, which can mean waiting for a wallet you no longer use.

Paying

Two reasons an account stops working

The published lock policy names two triggers: a transaction under review that needs more information from you, and a dispute or chargeback raised with PayPal or a card issuer. The second is automatic. While an account is locked, buying, parcel dispatch and refunds all stop, and the page promises a response within a day.

The practical reading is that a chargeback is a nuclear option here rather than a complaint channel. Cancel the chargeback and tell support, and the page says the lock comes off.

Next: the ninety days after the goods arrive.
